InterStudies tours – terms and conditions

Throughout the programme, InterStudies will run tours in the UK and Ireland, as an optional extra for participants on InterStudies education programmes.

1. Payment

• When a participant signs up for an InterStudies tour, they must make payment in full before the requested date.
• If payment is not received within the requested timeframe, InterStudies reserves the right to revoke a participant’s place on the tour.
• InterStudies reserves the right to cancel a participant’s booking without notice if they do not receive payment by the specific date. Any non-refundable deposit may be refunded at InterStudies’ discretion.
• The participant is responsible for ensuring payment is made by the specified date, that sufficient funds are available to make the payment, and that the card details provided are accurate.
• When payment is made, the participant accepts the terms and conditions, the cancellation policy and any other policies regarding age limits, vaccination requirement and documentation.

2. Insurance

• All participants are strongly advised to take out travel insurance for the duration of the tour, ensuring that their policy covers health and hospitalisation, as well as travel and personal belongings.
• Participants who travel without travel insurance will be responsible for any losses or additional costs incurred, including any expenses related to medical attention, additional accommodation, loss of luggage or transport cancellation.
• When taking part in in InterStudies programmes, participants should already have health insurance and third-party liability insurance in place. If travelling to a tour within the programme dates, these policies should remain valid during the period that the participant is travelling.

3. Travel

• Participants are responsible for booking and arranging their own transportation to/from the tour.
• Any flights must be booked independently, and any cancellations dealt with directly through the airline in question and through the participant’s arranged travel insurance.
• Participants are responsible for ensuring they have the relevant documentation to leave and re-enter their programme country.

4. Cancellation

• If the tour is cancelled by InterStudies due to government or foreign office recommendations, participants will be fully refunded by InterStudies.
• InterStudies will follow government guidelines regarding travel rules and regulations in relation to COVID19.
• If, once a participant has paid for the tour in full, they cannot attend the tour due to illness, they should refer to their own travel insurance. InterStudies will not provide a refund in such circumstances.
• This applies also in the case of a participant not being able to travel due to their travel companion being unable to travel due to illness (e.g. in the case of a fifteen-year-old travelling with a fellow participant aged over fifteen due to airline regulations).
• If a participant chooses to withdraw from the tour for any other reason, they will not be entitled to a refund from InterStudies and should refer to their own travel insurance.

5. Data and GDPR

• All participant data will be held in accordance with the InterStudies GDPR and privacy policies, which can be provided upon request.
• Photos and videos will be taken throughout the tour, and should a participant not wish to be included in any documentation, it is their responsibility to inform tour leaders and to remove themselves from any photos or videos being taken.

6. Arrival and departure

• All arrivals and departures onto the tour must be within the requested timeframe. InterStudies will always inform participants about the dates and times for arrival and departure.
• Meet and greet services, and transfers to and from the final destination, are not included in the price of the tour and will not be provided.
• Participants are responsible for their own transportation to/from the tour.
• If a participant is running late for arrival/departure, they must inform a tour leader.
